  • Overview

    McShane Construction has an opportunity for a construction Project Administrator to provide clerical and financial recordkeeping support to enhance the efficiency and productivity of McShane’s Rosemont-based project management staff. In a team-based environment, the Project Administrator will assist with contract administration, schedule and cost management, and project communication on multi-family, industrial, and commercial projects.     


    Contract Administration:

    • Contact subcontractors as necessary to obtain shop drawings, samples, and outstanding contract documents. Assist with maintaining current shop drawing and working drawing log.
    • Distribute submittal packages to appropriate parties as directed by project management. Document all submissions electronically and/or by hard copy, as applicable.
    • Obtain insurance certificates from subcontractors and follow-up on non-compliant or expired certificates.
    • Coordinate and arrange meetings with subcontractors, including preparing any necessary documentation and assisting with the input of meeting minutes into project management software.
    • Review and track change order requests and prepare documents for Project Manager’s approval.
    • Assist with project close-out by preparing and distributing punch lists, scheduling completion of punch list activities, and obtaining maintenance manuals from subcontractors and suppliers.


    Schedule & Cost Management:

    • Distribute schedules to appropriate parties as directed by Project Management.
    • Coordinate project bid information, including distributing and tracking all bid documents, verifying receipt of subcontractor bids, and ensuring bid dates are met.
    • Format and input project cost data into spreadsheets for review by Project Manager. Edit and proof final version to be submitted to Owner.
    • Assist with take-off analysis.
    • Assist with gathering information for payment application. Prepare the application for payment, contact subcontractors regarding invoices, and verify billing vs. actual work complete and materials stored.
    • Develop an understanding of cost code and reporting systems. Code all material invoices for approval by Project Manager.
    • Assist in the preparation of the monthly cost report.


    Project Communications:

    • Participate in the creation of any necessary project communication or correspondence with appropriate entities.
    • Assist in tracking all project documentation.
    • Become familiar with Owners and refer communications to the appropriate Project Manager or Project Engineer.
    • Handle project calls and emails.


    • Associates degree or equivalent combination of education and experience
    • 2 years related construction administration experience preferred
    • Strong attention to detail and the ability to produce work that is accurate, complete, and error-free is required.
    • Ability to communicate effectively and work productively with others.
    • Ability to prioritize and manage multiple priorities and deadlines.
    • Other success factors include reliability, positive attitude, professionalism, and an eagerness to learn.
    • Ability to use or learn project management software.
    • Ability to use a computer, the Internet, and word processing, spreadsheet, presentation, and email software.
